Job description
The Bid Manager plays a key role in driving the success of our commercial process by managing the end-to-end bid lifecycle, from customer inquiry to contract signing including basic contract review and coordination with legal and commercial stakeholders. Reporting to the Head of Bid & Quote and Sales Operations, this role is responsible for producing timely, high-quality, and competitive proposals that align with both client requirements and company standards. Acting as the central coordinator across Sales, Technical Sales, and other stakeholders, the Bid Manager ensures seamless collaboration, effective client communication, and winning strategies that strengthen our competitive position.
Responsibilities
Manage the complete bid lifecycle – oversee the process from initial customer inquiry through to contract signing, ensuring tenders and proposals are high-quality, commercially competitive, and technically compliant.
Coordinate and drive stakeholder collaboration – gather and integrate inputs from Sales, Technical Sales, and other departments to deliver comprehensive responses aligned with customer requirements.
Ensure timely submission of proposals – manage internal workflows and external deadlines to guarantee on-time delivery of bid and proposal documents.
Define winning strategies – work closely with internal teams to shape response packages and identify tactics that strengthen the company’s competitive positioning.
Support sales efforts – assist in preparing and delivering customer presentations, leading discussions, and managing Q&A sessions as part of the bid process.
Maintain bid management tools and templates – contribute to the development, standardization, and continuous improvement of bid and proposal documentation resources.
Lead client communication – provide accurate, consistent, and strategic communication with clients throughout the commercial process to build trust and ensure alignment.
Support contract review and negotiation by ensuring bid terms align with company policies, commercial strategy, and legal requirements.
Collaborate with Legal, Finance, and Project Management to identify and mitigate contractual or commercial risks during proposal and contract stages.
Job requirements
Experience: Minimum of 5+ years of experience in a similar role.
Education: Bachelor’s degree in Business Administration, Sales, Engineering, or a related field.
Proven ability to manage the end-to-end process from initial customer inquiry to contract signing, preparing high-quality, commercially competitive, and technically compliant tenders and proposal response packages, based on input from multiple stakeholders such as the Sales Team, Technical Sales, and other relevant departments to ensure a comprehensive response to customer requirements.
Demonstrated capability to ensure on-time delivery of proposals while adhering to both internal and external deadlines, while coordinating effectively with all relevant stakeholders throughout the process.
Experience in liaising with key internal colleagues to assist in the preparation of response packages and define winning tactics.
Ability to support the Sales team with customer presentations, discussions, and Q&A’s.
Experience providing support in the preparation and maintenance of Bid and Proposal Management templates and tools.
Strong skills to offer strategic and correct client communication throughout the entire commercial process.
Good understanding of commercial terms, US legal terms, contract structures, and principles of contract law.
